According to the 2000 IRS Publication for the 1040 form, fields 1-5, page 19 on ‘Filing Status’  (shown to the left). The choices offered for ‘Marital Status‘ in QuickBooks Pro are the same as the IRS standards, plus the Exempt status (shown below).


Reporting requirements.  The choices available in the A2QB files mirror these requirements.

While in Aloha, your choices are given for the “IRS W4 Marital Status” is offering “Divorced” (shown below), which is not one of the Federal Options.

In the Aloha Employee File, the above screen is used to build information on an individual employee. 

It is important to enter not only the General Data shown above on the Main Employee Screen, but for accurate reporting the Other Info button must be clicked to open the secondary information screen. 

In the Other Info screen, enter the following data:

  1. Employee Sex – Radio Button choice of Male or Female
  2. Job Status – The pull down list will provide the options available.
    Caution: This is not the ‘Employee Type’ in QuickBooks Pro.  
    1. Full Time
    2. Part Time
    3. Hourly
    4. Salary Exempt
    5. Salary Non-exempt

  3. Marital Status – A pull down list will be provided.
    CAUTION The Aloha Employee File DOES NOT have the same classifications for Federal Tax Status on the 2000 1040 form. 
    The pull down list contains the following choices:
    1. Single
    2. Married
    3. Divorced
    4. Widowed
      To conform with Federal Standards, the Marital Status MUST BE ADJUSTED in the Aloha 2 QuickBooks Employee Record before exporting to QuickBooks Pro.

EXAMPLE OF APPLYING Aloha and QuickBooks PRO data  

On Monday you hire a new Server for your business.  In order to allow this person to process the orders, the Employee Record in Aloha is completed.  When you enter the necessary information on the “Other Options” window, Aloha has four potential “W-4” classes for Marital Status. (Single, Married, Divorced, Widowed). The Divorced and Widowed classifications do not conform to IRS classifications, but may be entered in Aloha if you choose. 

When you are ready to update the data in the Aloha2QuickBooks Interface, the information that you entered will be imported to the COUTS Industries Employee data.  Employees Marital Status in the Interface will be presumed as Single if Divorced or Widowed was entered in Aloha. Until such time that you correct this, the Employee will be taxed at the Single Rate.  You will need to correct the Marital Status to conform to QuickBooks Pro reporting requirements if the Employee has declared a different exemption on their W-4 form. 

The valid Marital Status classifications, as defined by the IRS and QuickBooks Pro are Single, Married, ‘Head of Household’ and ‘Do Not Withhold’.  If the Aloha Employee File reports Single or Married, the data will be applied with no further action on your part. 

Additionally, State Withholding Information must be verified as accurate based on the Marital Status classifications in your particular State.
